How KitchenInvy handles customer data

KitchenInvy stores restaurant inventory, user access, supplier, reporting, waste, recipe, billing reference, and integration data so restaurant teams can manage daily operations. Customer data is scoped by workspace and is not intentionally shared between unrelated customers.

Information we collect

We collect account information such as name, email address, role, restaurant name, team invitations, and subscription status. Customers may also enter inventory items, item photos, supplier names, costs, par levels, waste records, restocks, recipes, POS catalog information, and change history.

How we use it

We use customer data to run the product, show reports, support onboarding, process subscriptions, send transactional emails and workspace notifications, troubleshoot issues, and improve KitchenInvy. We do not sell restaurant inventory data.

Integration credentials

POS credentials entered by customers are encrypted before storage. Admins can replace or delete those credentials from the product setup flow.

Website analytics and attribution

On public marketing pages, KitchenInvy records page visits and selected actions such as opening a product tour, following an app-store link, choosing a plan, or requesting the inventory template. First-party cookies and browser local storage may hold an opaque visitor identifier and attribution information for up to 90 days. Attribution includes source, medium, campaign, and separate first-visit and most-recent-visit information. This browser-storage period does not mean all related server records are automatically deleted after 90 days.

We connect this measurement with server-confirmed events such as checkout, workspace creation, and product milestones to understand where the service is useful and where people get stuck. Marketing telemetry does not include free-form form messages, passwords, inventory contents, or sensitive query-string values. Third-party analytics are limited to public marketing pages with sanitized URLs; private workspace routes, query strings, and private referrer details are excluded from that analytics feed.

The public-site tracker honors Global Privacy Control and Do Not Track signals by disabling attribution tracking. You can also clear this site's cookies and local storage in your browser. Essential login, security, billing, and service records are separate from optional public-site analytics.

Contact requests and optional marketing

If you submit a pilot, plan, or setup request, we store the contact and business details you provide so the team can respond. Optional marketing consent is collected separately. Requesting help, downloading the public inventory template, or creating an account does not automatically subscribe you to promotional email.

You can unsubscribe from marketing messages using the unsubscribe option or by contacting admin@kitcheninvy.com. We retain suppression preferences to avoid resubscribing an address through a later form submission. Transactional messages about your account or a request you made are separate from marketing updates. Contact us to request access to or removal of contact-request information.

Service providers

KitchenInvy uses service providers for hosting, database storage, authentication, payments, email, analytics, error monitoring, and POS integrations. These providers process data to provide those services.

Support access

KitchenInvy support may access a workspace only to troubleshoot, assist onboarding, or complete requested paid setup services. Support access is logged for accountability.

Customer control

Workspace admins can manage users, update business settings, remove POS credentials, and export key business records where export tools are available. For privacy requests, contact support from the email used for the workspace.

Data retention

Canceled workspaces are retained for a limited recovery period before deletion. Customers receive a warning before scheduled deletion when email is available. The data-retention policy describes the canceled-workspace recovery window and earlier deletion requests.
